Frequently Asked Questions

Everything you need to know about Bank Extract.

01

Privacy & Security

Do you sell or use my data?

Absolutely not. Our business model is selling software licenses, not user data. Bank Extract processes everything locally on your device — your PDFs, bank accounts, and transactions never reach our servers. We physically cannot access your financial data.

Read our full Privacy Policy.

Do I need an internet connection? Is it really offline?

Yes, 100% offline. The processing of your files never requires internet. The program only connects to activate your license the first time, then performs a silent security check every 90 days. Your PDFs and extracted data never leave your computer.

Details on how our license verification works: Privacy Policy · EULA.

Is the Web App on this page offline too?

Yes. All the demo code runs directly in your browser — it never touches our servers. Both the web demo and the desktop app are completely offline. No one can see what you upload.

Is this OCR or AI? How does it actually work?

No OCR. No AI guessing. Bank Extract reads the raw TextBounds coordinates embedded in your PDF — the exact digital layer the bank used to generate the document. It then reassembles rows and columns based on those coordinates. The result is precise extraction with zero hallucination. Most converters use OCR or AI that guess at table structure — we don't.

Billing & Licenses

What is the difference between Free and Pro?

The Free Version is limited to 30 pages per PDF and processes files one by one — perfect for testing. The Pro Version ($29, lifetime) removes all limits: unlimited pages, unlimited PDFs, batch processing (drag and drop 50 PDFs at once), custom saveable templates, and balance categorization.

Is it a monthly subscription?

No. One-time payment, lifetime license. $29 for 2 seat activations. No recurring fees, no hidden charges. We hate subscriptions as much as you do — you pay once and the software is yours forever.

Is there a money-back guarantee?

We offer refunds only for unresolved technical issues that our support team cannot fix. Since we provide a fully functional free 30-page demo, we encourage you to test your PDFs thoroughly before purchasing. Your satisfaction with the demo result is expected before buying. This policy is clearly stated at checkout.

Do I have to pay for updates?

No. Your one-time payment includes lifetime access to the version you purchased, plus all minor updates and bug fixes. Major version upgrades may be offered separately in the future, but your current version will always work.

How do license keys work? Can I use it on multiple PCs?

Your Pro license includes 2 activations — one for your main computer and another for your work laptop. After purchase, you receive a license key via email from Paddle. Check your spam folder if you don't see it. If you change computers and need to reset an activation, contact us at support@bank-extract.com.

Licensing details: Privacy Policy · EULA.

What payment methods do you accept?

We use Paddle.com as our Merchant of Record. They accept all major credit cards, PayPal, and other regional payment methods. Paddle handles VAT, tax compliance, and payment security globally. We never store your card information.

Usage & Capabilities

Can I export to Excel, CSV, or Google Spreadsheets?

Yes! Bank Extract transforms your PDFs directly into clean .xlsx (Excel) or .csv files. You can open these in Excel, import into Google Spreadsheets, or upload to accounting software like QuickBooks, Xero, or Sage.

Does it work with any bank?

Yes. If your PDF has a table, Bank Extract can process it. The app works with any text-based PDF regardless of the bank, language, or currency. Chase, Wells Fargo, HSBC, regional banks — it doesn't matter. The extraction is coordinate-based, not template-based.

Does it work with scanned or image-based PDFs?

No. Bank Extract works with text-based (digital) PDFs only. Scanned or image-based PDFs do not contain the digital text layer our engine reads. The good news: most banks provide digital PDFs by default when you download statements from their website.

Can I use it for my accounting firm or clients?

Absolutely. While Bank Extract was built to solve bank statement data entry, it works with any PDF that contains a table. Accountants, bookkeepers, and financial professionals use it daily to process client statements at scale. The batch processing feature (Pro) lets you drag and drop up to 50 PDFs at once.

Need more than 2 seats? Check our Team Pack (25 users, $249) or contact us for 50+ seats.

How does it handle date formats?

We extract the text exactly as it appears in the PDF — no reformatting, no guessing. Your Excel settings will usually handle date formatting automatically once the file is opened. If you need specific date formats, you can configure that in Excel or use a custom template in the Pro version.

How do I learn to use the app?

We have a YouTube channel with step-by-step tutorials so you can start extracting data in minutes.

Technical

Is it compatible with Mac or Linux?

Currently, the Desktop App is Windows only. Mac and Linux versions are on our roadmap. In the meantime, Mac/Linux users can contact support@bank-extract.com to request access to a specialized web-launcher instance.

How does the extraction method work? Can I fine-tune it?

Bank Extract reads the TextBounds coordinates from your PDF and groups text into rows based on vertical proximity. You can fine-tune the row tolerance in the app's Settings panel to better match your specific PDF's layout. This gives you precise control over how rows are detected and grouped.
